Transform Housing & Support Improves Data Management with BI Tool Qlik

Transform Housing & Support is a supported housing provider and charity based in Surrey offering high-quality housing and support to improve the lives of homeless and vulnerable people. Transform has been making a real difference to people’s lives for over 50 years.

The organisation’s purpose is to enable individuals to lead independent and fulfilling lives. The values Transform holds close to its heart are respect, empowerment, responsibility, and excellence. Approximately 140 staff members work for Transform and they collectively manage just under 1,000 units of housing.

The Challenge

To successfully manage over 900 units, employees need access to all the data relating to each unit. The data contains all the information on repair jobs, tenant interactions, rent arrears and other essential information.

There are various teams within the organisation that need to access this data. However, Transform had disparate data that was spread across multiple areas, making it difficult to understand, access, and report on performance.

Transform decided to invest in its technologies to benefit its tenants and teams by seeking a solution to organise its data.

The Solution

Transform consulted with TSG to create a plan of action to improve data presentation. The TSG team suggested using Qlik Cloud Analytics, a cloud-based BI tool that connects and analyses data from multiple sources and provides dashboards and insights for better decision-making.

The project involved a discovery phase and 20 days of development. TSG delivered a foundation for Transform to build on and trained and supported an internal person from the client side to take over the maintenance and development of the system.

The Results

Since the implementation of Qlik, Transform has seen multiple benefits, including:

Improved processes: Implementing Qlik has allowed Transform to improve day-to-day processes, saving team members’ time.

A better understanding of data: Qlik allowed Transform to understand its data, making it accessible to various teams.

Consolidate data: Previously, data was stored across multiple spreadsheets and in different areas. Transform ’s Qlik solution collects all the data into one place, so all teams can access it from the same location, making it more central and discoverable.

Advanced reporting: Qlik allows Transform to see all its data under one roof, identify trends, and enable more data-led decisions.

Consistent, comparable data: When dealing with properties, they can become void (empty). Previously, the three Transform departments primarily responsible for managing voids – the Client Services team, the Maintenance/Repairs team, and the Finance team – each had their own definition of when a unit became ‘void’, based on their specific activities relating to handling voids. Qlik resolved this issue by providing a consistent way to describe the status of a void, ensuring that all teams are able to work from the same, accurate data.

Transform is currently exploring more ways to use Qlik to further enhance other areas of the organisation.

“Qlik has helped us to compile consistent, accurate data giving us a clear understanding of all the touchpoints Transform has with each of the units we manage. This is enabling us to better monitor these activities which, in turn, helps us continue to improve our services for the clients we support.”
